Privacy Policy

Interview Buddy (“we,” “us,” or “our”), operated by ALTR Technology Group LLC, provides a hiring platform that connects job seekers with employers. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the rights you have over your information.

By using Interview Buddy, you agree to the practices described in this policy.

Who this policy covers

This policy applies to two kinds of users:

  • Job seekers who create profiles, upload resumes, and apply to roles.
  • Hiring managers who post jobs, review candidates, and manage hiring.

Where this policy refers to “candidates,” it means job seekers whose information is being reviewed by a hiring manager.

Information we collect

Information you provide directly:

  • Account information: name, email address, password, and role (job seeker or hiring manager).
  • Profile information: preferred work location, skills, and professional history.
  • Resume files you upload, and the information contained in them.
  • Job postings, including titles, descriptions, required and preferred skills, and location.
  • Interview scheduling preferences, offer details, and messages sent through the platform.

Information we generate:

  • Skill matches between candidates and jobs, and the scores behind them.
  • Anonymized candidate identifiers used to protect candidate identity before an employer reveals it.
  • A record of when a hiring manager reveals a candidate’s identity (an audit trail).
  • Reputation scores reflecting how employers interact with applicants.

Information collected automatically:

  • Basic technical data needed to operate the service, such as session information and activity within the app.

How we use your information

We use your information to:

  • Create and manage your account.
  • Match candidates to jobs and explain those matches.
  • Extract skills from uploaded resumes to build candidate profiles.
  • Enable interview scheduling, offers, and communication between candidates and employers.
  • Protect candidate identity through anonymization, and maintain an audit trail of identity reveals.
  • Provide job recommendations and marketability insights to job seekers.
  • Operate, secure, and improve the platform.

We do not sell your personal information.

How AI is used, and how decisions are made

We want to be clear about the role artificial intelligence plays on Interview Buddy, because we operate in hiring — an area where automated decision-making carries real consequences.

AI does not make hiring decisions on Interview Buddy. Candidate–job match scores are calculated using a fixed, rules-based formula — matching a candidate’s skills against a job’s requirements. This scoring is deterministic and transparent; it does not involve AI or machine learning, and both candidates and hiring managers can see how a score is produced.

We use AI (provided by OpenAI) for two supporting purposes only:

  • Skill extraction: identifying skills from the text of an uploaded resume.
  • Match explanations: generating a plain-language description of why a candidate matched a role.

In both cases, AI assists — it does not decide. Every hiring decision on the platform is made by a human. A hiring manager reviews candidates, chooses whom to advance, and makes all review, interview, and offer decisions. Interview Buddy does not automatically reject, rank away, or filter out any candidate using AI.

Anonymization and candidate identity

Interview Buddy is built around anonymized candidate screening. By default:

  • A candidate’s name, email, and phone number are hidden from hiring managers until interview or an approved exception.
  • Resume text shown to hiring managers is scrubbed to remove information that can introduce bias, such as school names, graduation years, home addresses, and age indicators.
  • Every time a hiring manager reveals a candidate’s identifying information, that action is permanently logged.

Hiring managers may request exceptions to anonymization only for documented business reasons, and those exceptions are recorded.

Service providers and subprocessors

We use trusted third-party service providers to operate Interview Buddy. These providers process information on our behalf and are contractually required to protect it and to use it only to provide services to us. Our current providers are:

About OpenAI specifically: When resume skill extraction is enabled, resume text is sent to OpenAI to identify relevant skills, and match information is sent to OpenAI to generate written explanations of why a candidate matched a role. Under our Data Processing Addendum with OpenAI:

  • Your data is not used to train OpenAI’s models.
  • Data is retained by OpenAI for up to 30 days for abuse monitoring and then deleted, unless OpenAI is legally required to retain it longer.
  • We do not retain the raw resume text after skill extraction is complete.
  • No candidate contact information is included in the data sent for match explanations.

We may update our list of providers from time to time. Material changes will be reflected in this policy.

Data retention

We retain your information for as long as your account is active or as needed to provide the service. If your account is inactive for 24 months, we may delete or anonymize the associated information. You may request deletion of your account and associated information at any time (see “Your rights” below). Some information may be retained after account deletion where required by law or for legitimate business purposes such as security and fraud prevention.

Raw resume text sent for skill extraction is discarded after extraction completes; we retain only the structured skills derived from it.

Your rights

Depending on where you live, you may have the right to:

  • Access the personal information we hold about you.
  • Correct inaccurate information.
  • Request deletion of your information.
  • Object to or restrict certain processing.
  • Request a copy of your information in a portable format.

To exercise any of these rights, contact us using the details below. We will respond as required by applicable law, including the GDPR and the California Consumer Privacy Act (CCPA) where they apply to you.

Data security

We use reasonable technical and organizational measures to protect your information, including access controls, encrypted storage of uploaded files, and secure authentication. No system is completely secure, but we work to protect your information and to respond promptly if a problem occurs.

International users

Interview Buddy is operated from the United States. If you access the service from outside the United States, your information may be transferred to, stored in, and processed in the United States and in the countries where our service providers operate. Where required, we rely on appropriate safeguards such as Standard Contractual Clauses for international data transfers.

Children

Interview Buddy is not intended for use by anyone under the age of 16, and we do not knowingly collect information from children.

Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date at the top and, where appropriate, notify you through the service.
